The two dates that set the block
Music for All requires every competing and exhibition band and its booster groups to book Grand Nationals hotel rooms through the Bands of America Housing Bureau. A band that books outside the bureau will not be permitted to perform and forfeits all enrollment fees.
The bureau publishes four dates. The housing preference form closes 15 May at 11:59 p.m. EST. Status communication follows by 15 June. Housing assignment is targeted for 1 August. The release of unused rooms starts after 1 September.
The rooming list lands 28 September
The final rooming list goes to the assigned hotel 45 days before arrival. A 12 November arrival puts that date on 28 September 2026, seven weeks before the first competition morning.
Groups may cancel rooms any time before the 45-day mark. Reducing a block by more than 20 percent could incur a penalty. A whole-booking cancellation runs through the bureau, and an individual room cancellation carries a published rule of thumb of at least 72 hours before arrival. Additions run through the bureau administrator while the hotel holds availability.
The release opens individual inventory
After 1 September the bureau administrator releases contracted rooms the event no longer needs for individual booking, at the administrator's discretion. Those rooms sit under Music for All contracts until that release.
The bureau states that no individual attending a Bands of America event is required to use the bureau, and that released rooms may carry better pricing with limited availability.
What the event takes out of the city
Music for All states that Grand Nationals occupies almost half the suitable hotel inventory in Indianapolis and more than half of the downtown properties it grades as premium. The bureau holds firm contracts with monetary guarantees for the sleeping rooms, called attrition clauses, and the policy states that 2026 Fall participants are filling guest rooms contracted as early as 2020.
The organiser's list of competing bands names 96 bands from 22 states, stamped 24 September 2026, plus two exhibition ensembles. The enrollment page lists the championship at a show capacity of 112 with 99 enrolled against a 31 January 2026 priority deadline, stamped 8 June 2026.
The venue's event page publishes one clock block covering all three days. The South Parking Lot opens at 6:00 a.m., the ticket office at 6:45 a.m., and the East Gate and the first competition at 7:00 a.m.
What the rate leaves out
Downtown hotels charge for parking at every service level. They cannot accommodate buses and they charge for overnight vehicle parking. Suburban properties generally have room for buses and trucks at little to no additional cost. Breakfast inclusion is an additional cost arranged through the bureau administrator, cmcglobal. The rate file the block sells against
The bureau page lists seven Quick Links. Four resolve to files. Three render as plain text with no link, and one of the three is the 2026 Grand Nationals Housing Reference Guide. The only per-property rate sheet that opens from that list covers the Ballad Health East Tennessee Regional in Johnson City.
Music for All states that its negotiated hotel rates include modest financial support and commissions from participating hotels, and it publishes no figure for either. A downtown revenue manager prices the three nights from the city's own published rates and the terms above.
