One day sets the booking shape. A single Saturday supports one night for anyone who travels, and the door window runs 600 minutes.
What the Venue Floor Holds
Hall A carries 211 ten-foot booths across 44,400 square feet under a 35-foot ceiling. The organiser's 200 vendor spaces fill that floor. The center holds 49 loading bays and seven drive-in ramps, and Hall A loads through docks 1 to 3 off northbound Missouri Street at 5 South Missouri Street.
The Clock the Crew Works
Teamsters Local 135 sets the rented space one to three days before the first contracted date, and that window depends on prior occupancy. Sound and lighting sit with IATSE Local 30, and that jurisdiction covers the installation and dismantling of equipment. Dock guards are required during move-in and move-out, with a four-hour minimum.
Two dates shape the plan. The certificate of insurance for an exhibit-hall event was due 45 days before initial occupancy, which fell on 26 August 2026. Room-set specifications reach the event coordinator at least 30 days before the first move-in day, which fell on 10 September 2026.
Medical personnel are required once 2,000 or more attendees are anticipated, and the venue's own forecast reaches that threshold. Paging is restricted to emergencies.
The Nights the Show Supports
A Saturday show supports one night for the travelling attendee and one for the exhibitor crew that arrives before the doors. The venue lists 7,100 hotel rooms in downtown Indianapolis and 4,700 rooms connected by skywalk.
Two longer programmes share the building that weekend. The FullScale Symposium runs 8 to 10 October with a forecast of 1,000, and the American Dental Association Scientific Sessions run the same three days with a forecast of 4,000. Both end on the Saturday, so the Saturday night belongs to this show and to the two closures.
The Rate Window
Engine's city dataset gives the Indianapolis average at $128 a night across 1.2 million public rate observations between May 2024 and April 2026. October averages $134, September averages $117 and May averages $158.
Downtown occupancy reads 64.7 percent against 62.4 percent nationally in the Downtown Indy Alliance snapshot carried in Bradford Allen's March 2026 market note. That snapshot cites CoStar and STR, and it puts average daily rate at $209.11.
The organiser publishes no room block, no rate and no cut-off date, and the venue page names no property. A one-night request from this show prices against the market on the day.
What to Check on the Next Edition
Three items would turn the day into a forecast. An attendee origin split measures how much of the 2,000 arrives from outside the metro. A published block with a cut-off date gives the rate a starting point. A second day forces a night between the two.
The organiser's own release describes the audience as Indiana-owned businesses, local gyms, fitness studios, trainers and nutrition experts. That description sets the base as a local market and leaves the travelling share unpublished.
