The Booking Route Is One Property and One Link
The organiser names one conference hotel: Le Méridien Indianapolis by Marriott, 123 South Illinois Street, 0.2 miles from the Convention Center. The group rate is $229 a night, the reservation deadline is September 22, 2026, and the discounted rate has limited availability for October 8 and 9. A delegate who also needs the night of October 7 books direct at the hotel's standard rate, uses the same guest name for both reservations, and asks the hotel to link the stays as consecutive. The organiser states that symposium registration does not include accommodations.
That structure puts the group's room nights into one property through the organiser's own reservation link. A group of 1,000 delegates over two block nights amounts to 2,000 room nights at the published rate, and the block's scope stops short of the arrival night.
The Arrival Night Sits Outside the Block
Wednesday is the first day of the programme. The organiser opens a registration desk from 5:00 to 7:00 p.m. on October 7 for early check-in, and Thursday's desk runs from 8:00 a.m. to 7:15 p.m. The discounted block covers Thursday and Friday nights, so the Wednesday arrival sells at the hotel's standard rate with no group rate and no attrition cover. The organiser's deadline of September 22 lands 16 days before the block's first night.
The Week Around the Block
The venue calendar carries 16 events between September 22 and October 15, 2026. The same stretch as the symposium holds the American Dental Association Scientific Sessions from October 8 to 10 at a forecast 4,000 and the ABC Health and Fitness Expo on October 10 at 2,000. Ahead of it sit the Gas Machinery Conference from October 4 to 7 at 900, the ISBA/IAPSS Annual Conference on October 5 and 6 at 1,000, and the Indiana Chamber's Emerging Leaders' Summit on October 7 at 220. Five days inside the window carry no event: September 23 and 24, October 2 and 3, and October 11.
What the Group Is Worth Against the City Rate
Engine publishes an average nightly rate of $128 for Indianapolis across 1.2 million public rate observations from May 2024 to April 2026. October reads $134 on the same page. The published block rate of $229 sits $95 above the October figure, and Engine states that its numbers are par rates, the cheapest public price at the time of each search.
The organiser's registration card is the demand signal behind those room nights. Early Bird registration ran at $1,000 to July 31, Regular at $1,250 from August 1, presenters pay $800, pre-conference workshops cost $300, and Learning Labs cost $400 a person for individuals and small teams, or $2,000 for teams of five or more. The Learning Labs price a team unit, and the organiser builds them for school and district leadership teams.
What the Venue Documents for the Sale
Downtown Indianapolis holds 7,100 hotel rooms, and the venue reports that more than half sit within blocks of the Convention Center and Lucas Oil Stadium, with 4,700 rooms connected by skywalk. The skywalk locks down at approximately 11 p.m. and reopens at approximately 6 a.m. on an event-dependent schedule. Food and beverage inside the building comes from Sodexo Live!, which holds exclusive distribution rights, and ICCLOS management must give written consent before any food, beverage or novelties enter the facility. The venue runs cashless for food and beverage purchases, with a reverse ATM on site.
The supply side moves in December 2026. The venue states that the 803-room Signia by Hilton Indianapolis opens then, and that the sixth expansion and the hotel together add 2,500 construction jobs and 400 new hotel jobs, with almost $300 million in annual economic impact from retaining cornerstone conventions.
What the Terms Ask of a Revenue Team
The published terms hand a revenue team a two-night block, an arrival night it can sell at rack, a deadline 16 days out, and a rate $95 above the city's October average. Price the Wednesday night before the block opens, because the organiser has already sent that delegate to the hotel's own channel.
