The Contract and the Recurring Dates
The Gas Machinery Conference runs four days at the Indiana Convention Center, 4 to 7 October 2026. The Gas Machinery Research Council organises it. The venue publisher forecasts 900 attendees. The organiser's stat block reads 1,100 attendees expected and 100-plus exhibitors. Registration opens Sunday at 2 p.m. and the programme closes Wednesday at 4:15 p.m. with the GMRC annual membership meeting.
A delegate who arrives Sunday and leaves Wednesday holds three nights. The 8 a.m. Sunday exhibitor move-in takes the exhibitor base to four nights.
The Block Terms an Owner Can Underwrite
The organiser writes the accommodation requirement into the sponsor and exhibitor agreement. Sponsors and exhibitors book inside GMRC's official room block at the designated headquarters hotel for the full duration of the event. Reservations are secured at the time of event registration and paid in full. Unused rooms are released at least 30 days before the conference start date. The page states that bookings made without the official block link do not count toward block fulfilment.
The named consequences reach past the room nights. A fee equal to GMRC's actual room revenue loss due to non-block usage. Loss of signage, app listing or attendee access. Loss of priority placement or booth and sponsorship selection at future events. Ineligibility for future GMRC conferences. None of it applies to a hotel the organiser has not contracted.
The official block sits at the JW Marriott, 10 S West Street, listed at rooms from $249 plus tax with a booking date of 11 September 2026 on the organiser's page. The organiser also refers to overflow properties and publishes no rate and no cut-off date for those.
The Terms Repeat With the Cycle
The organiser publishes a host city for each year from 2016 to 2027. Indianapolis holds 2026 and Oklahoma City holds 2027. The editions before that run Louisville in 2025, Houston, Phoenix, Fort Worth, Louisville in 2021, San Antonio, Kansas City, Pittsburgh and Denver, with 2020 listed as virtual.
The Food and Beverage Windows on the Floor
The published agenda carries three food and beverage windows on the exhibit floor. Wednesday breakfast with exhibitors runs 7 to 8 a.m. in Exhibit Hall A-B. Tuesday lunch with exhibitors runs 11 a.m. to 12:30 p.m. in the same hall. Wednesday's exhibit hall lunch runs 11:30 a.m. to 1 p.m.
Sodexo Live! holds exclusive food and beverage distribution rights inside the venue. The Catering Department of ICCLOS holds the exclusive right to booth catering, and the venue holds the exclusive right to all food and beverage sampled inside the building. Food and beverage items used as traffic promoters must be purchased from Sodexo Live!. The facility is cashless for all food and beverage purchases. The 7 percent Indiana sales tax carries a 2 percent Marion County food and beverage tax on top of it.
The Base Under the Week
The venue counts 7,100 hotel rooms in downtown Indianapolis and 4,700 of them connected by skywalk. The venue states the lock-down rule of thumb as about 11 p.m. and the morning reopening as about 6 a.m., both event-dependent.
Engine's Indianapolis data gives an average nightly rate of $128 across 1.2 million public rate observations from May 2024 to April 2026, on par rates observed 10 to 180 days before check-in. October averages $134 and February is the low month at $107.
New supply arrives after the week. The venue's expansion page gives the Signia by Hilton Indianapolis 803 rooms with a December 2026 target, a 50,455-square-foot grand ballroom and a skybridge connection to the Convention Center.
